PATH is currently recruiting an Office Assistant to support the daily operations of our office at 50% capacity (approximately 20 hours per week). The ideal candidate will be an organized multitasker with excellent communication skills and the ability to work collaboratively. The Office Assistant will be based in PATH’s London, United Kingdom office.
Specific duties and responsibilities
- General administrative support, including responding to emails and directing enquiries to the appropriate team members, printing documents and help preparing materials for meetings or events.
- Manage and maintain office supplies, including ordering stationery, business cards and other supplies.
- Support the management of the equipment inventory for PATH in the UK.
- Develop, cultivate and own relationships with property management company and third-party service providers and vendors.
- Serve as Office Safety Coordinator and contact person for the site’s Safety and Security Management plan and staff safety and security issues.
- Provide support with meetings, book conference rooms and register guests visiting the PATH office
- Assist with booking hotels for PATH staff travelling to London and providing basic information about access and facilities in the office for guests.
- Assist with office upkeep, including light organization and tidying of PATH offices.
- Coordinate and send courier letters and packages, ensuring timely delivery and accurate documentation.
- Develop and maintain administrative documents
- Perform other tasks as assigned, in alignment with team priorities.
Required skills and experience
- A-Levels or equivalent; post-secondary education is a plus.
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Ability to work independently whilst contributing to a team-oriented environment.
- High attention to detail and ability to prioritize tasks effectively.
- Availability to work 20 hours per week, with some flexibility in scheduling.
- Professional demeanor and positive attitude.
